12. Approval Processes

Utilise managerial and HR approvals in different processes

The approval function can be linked to any processes of your choice, such as managing absences and performance reviews. This function operates consistently for everyone involved in the process, though the settings for the approval process can be tailored to specific needs.

Approvals can be managed either on the front page of Sympa or on the page and table where the data needing approval is located. Email reminders can be sent to prompt approvals.

Typically, the person responsible for approvals is a manager, the manager’s manager, or a combination of the two. In some cases, the approver can be an HR manager or the managing director, depending on the process.

Approvals are also frequently used in integrations, ensuring that only approved data is transferred during the integration.

  1. Get familiar with the feature: Get to know the possibilities of the approval features from Sympa Support Portal:

  2. Your approval processes: Consider which processes could benefit from approvals. Who will be responsible for making approvals? Will it be a manager, the manager’s manager, or perhaps someone from HR? We love the feature as well, but approval workflows are best kept simple to avoid unnecessary bottlenecks in the system data handling.
  3. Using the email notifications: Consider the recipients of the email notifications for the approval status (waiting for approval, approved or declined). Should it go to the next approver, the person requesting the approval, or the employee whose data has been edited?
